What’s the difference between fixed and pay-as-you-go pricing models?
Fixed pricing plans (Start, Boost, Scale) offer a consistent monthly fee, ideal for businesses with predictable needs. Pay-as-you-go plans (Flexa, Pro) adjust the fee based on your business’s activity, making them suitable for businesses with variable workloads or high transaction volumes.
What factors determine the monthly fee for each plan?
The monthly fee depends on the plan’s features, your business’s complexity, and usage limits (e.g., sales volume or transaction limits). Fixed pricing plans like Start (49 EUR), Boost (89 EUR), and Scale (149 EUR) have set fees regardless of activity. Pay-as-you-go plans like Flexa (59 EUR) and Pro (99 EUR) adjust based on your business activity, such as sales or transaction volume.
-
Are there additional fees beyond the monthly cost?
Yes, additional fees may apply for:
-
Exceeding sales or transaction limits (a proportional multiplier applies to the monthly fee).
-
Specialized services like cryptocurrency accounting (marked with ''?'' and "€").
-
VAT reporting in other EU countries (e.g., via Hellotax).
-
Ad hoc services like meetings, consultancy, or retrospective processing (e.g., 50 EUR/hr).
-
All fees exclude 22% VAT, which is added separately.
What happens if I exceed my plan’s sales or transaction limit?
If your monthly sales exceed the plan’s limit, a proportional multiplier will apply to your next month’s fee. For example, if your sales are 20% over the limit, your fee will increase by 20%. If you exceed the limit for two consecutive months, you will be upgraded to a higher plan that accommodates your sales volume.
What Are the Entries in Flexa?
In the Flexa plan offered by the company, "entries" refer to the financial transactions recorded as part of the accounting services included in these plans.
entries include, but are not limited to, the following examples:
-
Each line on the bank statement: Every deposit, withdrawal, or fee listed.
-
Purchase and sales invoices: Records of goods or services bought or sold.
-
Taxes and tax declarations: Payments or filings related to VAT, income tax, etc.
-
Withdrawal and deposit of cash: Cash movements in and out of the business.
-
Loans and interests (in and out): Borrowing, repayments, and interest charges or earnings.
-
State fees, bank fees, and currency exchange: Administrative or transactional costs.
-
Debit/credit card transactions: Payments made or received via cards.
-
Expense reports: Reimbursements or costs incurred by employees or the business.
-
Periodization: Allocating revenues and expenses to the correct accounting periods.
-
Fixed assets: Purchases or sales of long-term assets like equipment.
-
Depreciation: The gradual write-off of fixed asset values.
-
Share capital: Contributions from owners or shareholders.
-
Investments: Funds put into stocks, bonds, or other assets.
-
Dividends: Payments distributed to shareholders.
In short, journal entries are the building blocks of financial accounting, documenting every transaction that impacts the business’s financial position.
Are there additional fees for clients from certain countries?
Yes, an enhanced due diligence fee applies to clients from selected countries. Please visit our list of supported countries for details on which countries this applies to.
-
The client cash flow within bookkeeping- and additional services is calculated as follows:
The total incoming and outgoing funds within the calendar month for which documents have been processed. This calculation involves summarizing the values of all entries in the profit and loss statement. In cases where the service pertains to a specific transaction without an available profit and loss statement, the value of that transaction is considered as part of the cash flow
How are entries calculated in e-commerce sales?
In e-commerce, businesses often process hundreds or thousands of sales daily, which could overwhelm traditional accounting if each sale were recorded as a separate journal entry. However, each sale is not considered an individual entry if a transaction report from the client’s e-commerce system is provided in CSV format, including all required transaction details (e.g., sale amounts, taxes, fees, etc.).
Instead, we process this CSV report as a consolidated entry. For example:
-
A daily or monthly CSV report summarizing all sales can be recorded as a single entry (or a few entries), rather than one entry per sale.
-
This entry captures the total sales revenue, associated taxes, and any fees in one go, simplifying the workload.
-
This approach is a key reason why Flexa and Pro are well-suited for e-commerce businesses:
-
Efficiency: Consolidated entries reduce the number of journal entries, keeping accounting manageable even with high sales volumes.
-
Cost-Effectiveness: Since pricing doesn’t scale with each individual sale, businesses avoid excessive fees despite large transaction counts.
-
Flexibility: Flexa’s volume-based pricing and Pro’s unlimited transactions accommodate the unpredictable nature of e-commerce sales.
-
What business types are supported by each plan?
